Procedures for the NNNS AGM 2022
With rates of COVID-19 infection in the community still high, the NNNS Council decided that the Society would hold its AGM online again this year. In the interest of transparency the NNNS Council remains committed to providing members with all of the usual information that would be given at an in-person AGM, and also to allow members to vote and ask questions in writing. We would encourage as many members as possible to vote via the procedures set out in point 4 below.
- A copy of the society Annual Report and all AGM papers will be distributed as normal with the February edition of the Norfolk Natterjack. Once the annual accounts have been audited a final copy will be uploaded to the society website at www.norfolknaturalists.org.uk/wp/publications/annual-report/ and will also be available via the Charity Commission website.
- The AGM will be delivered live online on Tuesday 22nd March at 19:30 using a programme called Zoom, which the Society has previously used to deliver a programme of online talks and the 2021 AGM. Zoom is free for members to download and will enable those who are able and wish to watch the AGM to do so. The online AGM will be followed by a talk by NNNS Chair Tony Leech.

You can join on the day (although if using a mobile device you might want to download the Zoom app a little before the event is due to start) so there is no need to pre-register.
- If possible the AGM will be recorded, so that those who have access to computer equipment and the internet but who are unable or do not wish to use Zoom are able to watch it back at a later date.
- Voting will need to be carried out before the AGM to allow us to confirm the votes are from current members. The easiest way to vote is to email your votes to the Secretary – see our where you can download a copy of the voting form or use a voting template to copy onto an email.
Completed emails should be sent to jamesemerson2007@gmail.com If possible please send these no later than Tuesday 15th March to allow names to be checked and the votes to be tallied.
If you do not have an email address or would rather vote by post then you can do so by completing the voting slip on the back of this document and returning it to the Secretary by post, again aiming to arrive no later than Tuesday 15th March.
You can also submit any questions you might have at the bottom of the form. These will be answered on the night and if requested the answer will also be sent directly to you by the same method which you used to contacted us.
